Who we are
Ping My Pet is run by Chloe Knowles, trading as Ping My Pet, based in the UK. We are responsible for the personal information described here (the "data controller"). If you have any questions, email hello@pingmypet.co.uk.
What we collect
If you own a tag:
- Your email address and a securely scrambled (hashed) copy of your password. We can never see your actual password.
- The details you add about your pet: name, photo, messages, home town or city if you add one, and anything you write under "Good to know".
- If you choose to add them: your first name and phone number, and the names, email addresses and phone numbers of other people who look after your pet.
- When your tag is scanned and when someone sends you a message. We record the time only, not who scanned it or what they wrote.
If you are added as someone's contact: your name, and the email address and phone number the owner gives us. We ask you to agree before sending you anything.
If you find a pet and send a message: your message, plus any name, phone number, email address or location you choose to include. We send this straight to the owner (and anyone they have added as a contact) by email. We do not keep it on our website.
If you buy a tag: your payment is handled by Stripe. We receive your name, email, delivery address and what you bought so we can post your order. We never see your card details.
Security records: to stop misuse, we briefly keep records of login, password reset and activation attempts (including the email address involved). These are deleted automatically within 24 hours.
Who can see what
- Anyone who scans your tag sees your pet's page: the details you've added, and your phone numbers only if you chose to show them. Your email address is never shown.
- Calling or texting a number shown on a pet's page shares the caller's number with the person they contact, as with any phone call.
- If you add your pet to the wall of fame, their photo and name are shown publicly after we've checked the photo. Nothing else is shown, and the wall does not link to your pet's tag page.
- If you add your pet to the Most Wanted list, their photo, name and what they're "wanted for" are shown publicly after we've checked them. Nothing else is shown.
Why we use it (our lawful basis)
- To provide the service you signed up for (contract): your account, your pet's page, passing on messages from finders, and posting orders.
- Your consent: the wall of fame, the Most Wanted list, and emails to anyone added as a contact. You can withdraw consent at any time.
- Legitimate interests: keeping the service secure and working, for example scan times and security records.
- Legal obligations: keeping order records for tax purposes.
Who we share it with
We never sell your information or use it for advertising. We use a small number of trusted companies to run the service:
- Cloudflare hosts the website, database and photos.
- Resend sends our emails.
- Stripe processes payments.
Some of these companies may process information outside the UK. Where they do, they use legal safeguards approved under UK data protection law. We may also share information if the law requires it.
How long we keep it
- Your account and pet details: until you delete them. You can remove a pet or delete your whole account at any time from "Your pets", and everything about them is deleted, including photos.
- Messages from finders: not stored on our website. Our email provider keeps a copy of sent emails for a short time.
- Security records: up to 24 hours.
- Order records: six years, as required for tax.
- Backups: deleted information can remain in our backups for up to 7 days.
Cookies
We only use cookies that are needed for the site to work: one to keep you logged in, and one that briefly shows messages like "Changes saved". We don't use advertising or tracking cookies, or any analytics.
Photos
When you upload a photo, we shrink it and remove hidden information such as the location it was taken.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to object to or restrict how we use it, and to receive it in a portable format. You can delete most of it yourself from "Your pets". For anything else, email hello@pingmypet.co.uk and we'll respond within one month.
If you're unhappy with how we've handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Children
Accounts are for adults. If you're under 18, please ask a parent or guardian to set up your pet's tag.
Changes to this policy
If we make important changes, we'll update the date at the top of this page.
